Attachment Storage

The Attachment Storage settings allow you to configure where contract and vendor attachments are stored within your Jira instance.

Navigate to Settings > Attachment Storage to access the Attachment Storage Settings page.


How Attachment Storage Works

The Vendor & Contract Management (VCM) plugin automatically creates a dedicated Jira space to act as a secure vault for all contract and vendor attachments. This approach provides:

Centralized Storage:

  • All contract documents, vendor files, and related attachments are stored in one dedicated project

  • Files are organized systematically for easy retrieval and management

  • Eliminates scattered attachment storage across multiple locations

Security and Encryption:

  • Access to the storage project is strictly restricted to app administrators

  • All files are encrypted, ensuring that even if a user gains unauthorized access to the project, the attachment content remains unreadable

  • Only authorized users can view, download, or manage attachments through the VCM interface

Connection Status:

The VAULT CONNECTED badge indicates that the attachment storage is properly configured and operational.


Configuration

Space/Project Name:

The default project name is displayed in the text field (e.g., "VCM_CREATED_PROJECT_DO_NOT_DELETE").

To change the storage project name:

  1. Enter a new unique name in the Space/Project Name field

  2. Ensure the name is unique across your Jira instance

  3. Click Update Storage Name button

  4. The underlying Jira project will be renamed accordingly

Important Notes:

  • Changing the project name renames the underlying Jira project but does not affect existing attachments

  • The project name must be unique across your entire Jira instance

  • Use descriptive names that align with your internal naming conventions (e.g., "VCM_Attachments", "Contract_Vault", "Vendor_Documents")


Security Note

Critical Security Information:

Access to the attachment storage project is strictly controlled:

  • Only app administrators can access the storage project and even when they access it, they cannot view the content unless they access it from the VCM App itself.

  • All files stored in the project are encrypted

  • Even if an unauthorized user gains access to the project directly in Jira, they cannot read the attachment content

  • Attachments can only be properly viewed and downloaded through the VCM application interface by authorized users

Importan Notes:

  • Do not delete or modify the storage space directly in Jira. If the storage space is deleted or archived the attachments of the VCM contracts will be unavailable since they are stored directly within it.

  • Do not grant additional Jira project permissions to the storage project to avoid they delete or archive work items.

  • Regularly verify that the vault connection status shows "VAULT CONNECTED"


Troubleshooting

If the vault shows as disconnected:

  • Contact your Jira administrator

  • Verify that the storage project still exists in Jira

  • Check that project permissions have not been modified

  • Review Jira system logs for errors related to the VCM plugin
