Managing Existing Reminders

Once reminders are created, you can edit or delete them from the Reminders tab in contract view page.

 

Navigate to Reminders tab (marker 1) on the contract detail page to view all configured reminders.

Reminder Table Columns:

Subject

  • Displays the subject line of the reminder notification

  • Example: "This is a reminder about the contract Assessment of recruitment process"

Date

  • Shows when the reminder is scheduled to be triggered

  • Format: YYYY-MM-DD

  • Sortable by clicking the arrow (↑) in the column header

Status

Indicates the current state of the reminder

  • SCHEDULED : When the reminder is planned to be sent in the future

  • SENT : If all notifications are sent successfully to recipients

  • PARTIALLY FAILED : If at least one notification failed to be sent

  • FAILED : If none of notification was sent

Actions

  • Provides access to edit and delete functions via the three-dot menu (marker 2)


Editing a Reminder

To modify an existing reminder:

  1. Locate the reminder you want to edit in the reminders table

  2. Click the three-dot menu icon (•••) in the Actions column (marker 2)

  3. Select Edit from the dropdown menu

  4. The reminder form will open with current values pre-populated

  5. Modify any fields as needed:

    • Add or remove notification recipients

    • Change the reminder date

    • Update the subject line

    • Revise the email body content

  6. Click Update to apply your changes

Important Notes:

  • You can edit reminders at any time before they are sent

  • Editing a reminder that has already been sent (status = SENT) will not resend the notification

  • Changes to reminder dates or recipients take effect immediately


Deleting a Reminder

To remove a reminder:

  1. Locate the reminder you want to delete in the reminders table

  2. Click the three-dot menu icon (•••) in the Actions column (marker 2)

  3. Select Delete from the dropdown menu

  4. Confirm the deletion when prompted

Important Considerations:

  • Deletion is permanent and cannot be undone

  • Deleting a scheduled reminder prevents the notification from being sent

  • Deleting a sent reminder removes it from the list but does not recall already-sent emails

  • You can delete reminders regardless of their status
