Reminder Execution & Delivery

How Reminders Are Processed

The system runs an automated cron job that performs the following actions:

  1. Check Reminders

  • The system regularly scans all scheduled reminders across all contracts

  • Identifies which reminders have reached their trigger date

  • Determines which reminders are ready to be sent

  1. Update Reminder Status and Send Notification

  • Reminders that are due are processed automatically

  • Email notifications are sent to all specified recipients

  • Reminder status is updated from SCHEDULED to SENT

  • All activity is logged in the Audit Logs

  1. Notification Delivery

  • Recipients receive an email with the subject and body you configured

  • Dynamic variables are replaced with actual contract information

  • Each recipient sees their own name in personalized fields


Monitoring Reminder Execution

To verify that reminders are being processed:

  1. Navigate to Settings > Audit Logs

  2. Review entries for reminder-related actions:

    • "check Reminders" – System checking for due reminders

    • "update Reminder Status and send notification" – Reminders being sent

  3. Check the Status column for SUCCESS or FAIL indicators

  4. Expand any FAIL entries to see error details

Reminder Statuses

Understanding reminder statuses helps you track the lifecycle of each notification:

  • SCHEDULED : When the reminder is planned to be sent in the future

  • SENT : If all notifications are sent successfully to recipients

  • PARTIALLY FAILED : If at least one notification failed to be sent

  • FAILED : If none of notification was sen

 

SCHEDULED

  • The reminder is set and waiting to be triggered

  • The trigger date has not yet been reached

  • The reminder will be processed when the date arrives

  • You can edit or delete scheduled reminders

SENT

  • The notification has been successfully delivered to recipients

  • The trigger date has passed

  • Recipients should have received the email notification

  • You can still edit or delete sent reminders (editing won't resend)
