User Management

User Management Access The User Management interface is accessible via two primary entry points:

  1. App Administration Settings: Accessible only to Jira Administrators (requires Administer Jira or System Admin global permissions).

  2. VCM Sidebar Menu: Accessible only to users designated as Vendor Administrators.

Access Control & Permissions Upon installation of the VCM app, users with Jira administrative privileges can manage initial access via App Settings > User Management. Once a Vendor Administrator has been appointed, they may manage VCM users directly from the sidebar by granting or revoking access.

Note: For security and compliance, all user additions and removals are recorded in the Audit Log for full traceability.

Navigate to Settings > User Management to access the User Management Settings page.


Understanding User Roles

Vendor Administrator Role:

  • The Vendor Administrator role is the highest permission level in the VCM application

  • Users with this role can manage vendors, contracts, and all app settings

  • Currently, there is only one level of privilege: "Vendor Administrator"

Key Permissions: Vendor Administrators can:

  • Create, edit, and delete vendors and contracts

  • Access all dashboards and reports

  • Configure application settings (User Management, Attachment Storage, Audit Logs)

  • Grant or revoke Vendor Administrator access to other users

  • View audit logs and system automation status


Granting Access to Users

This form allows Jira administrators and existing Vendor Administrators to select users and grant them access to the VCM app.

To grant Vendor Administrator access:

  1. In the Select the Users field, start typing the name of the user you want to grant access to

  2. Search results will display matching users from your Jira instance

  3. Select the desired user from the dropdown

  4. Click Grant Access button

  5. The user will be added to the user list below with the role "VENDOR ADMINISTRATOR"

User List Table:

The table displays all users who currently have access to the VCM application:

  • User: Shows the user's name and avatar/initials

  • Role: Displays the assigned role (currently only "VENDOR ADMINISTRATOR" is available)

  • Action: Provides a Remove button to revoke access


Revoking Access from Users

To remove Vendor Administrator access:

  1. Locate the user in the user list table

  2. Click the Remove button in the Action column for that user

  3. Confirm the removal when prompted

  4. The user will immediately lose access to the VCM application

Important Considerations:

  • Ensure at least one Vendor Administrator remains active to prevent lockout from settings

  • Removed users will lose access to all VCM features immediately


Best Practices for User Management

Access Control:

  • Grant Vendor Administrator access only to users who need full control over vendor and contract data

  • Regularly review the user list to ensure only appropriate personnel have access

  • Remove access promptly when users change roles or leave the organization

Security:

  • Maintain at least two Vendor Administrators to ensure continuity

  • Document who has Vendor Administrator access for audit and compliance purposes

  • Coordinate with your Jira administrator when managing user access
